Regnum Christi Hong Kong (RCHK) highly values personal privacy and is committed to complying with the requirements of Hong Kong's Personal Data (Privacy) Ordinance in the collection and management of personal data, striving to protect the confidentiality and security of the personal data held by RCHK.
Personal Data Collection
Generally speaking, the types of personal data collected by RCHK can be categorized as follows:

Membership records, including personal data and attachments of applicants for membership; membership cards; records of participation in services provided by RCHK, talks, retreats, courses, training, workshops, and other activities (including event photography and videography); and donation records;

RCHK's own personnel records, including personal data in job application forms and resumes, personal data of organization employees, positions, salaries, wages, benefits, performance evaluations, disciplinary matters, leave and sick leave records, records of mandatory provident fund schemes, personal data of volunteers and agents, and records of contractors;

Records of complaints, investigations, disciplinary actions, and regulatory actions, including personal data collected in response to complaints received by RCHK, interventions, investigations, and regulatory actions taken by RCHK in accordance with applicable laws, rules, and regulations;

Records collected on the web server include email addresses and login names collected for providing email services to members, and communications between RCHK and members or non-members using electronic communication devices. When providing online services, RCHK may track information regarding website traffic and content access clicks without identifying any individuals. No personal data is collected in this process;

Records of non-member participation in services provided by RCHK, public talks, retreats, courses, trainings, workshops, and other activities (including event photography and videography); donation records;

And other miscellaneous records, including participants in prayer meetings, media inquiries and related communications from non-members; personal data held in the minutes of meetings of RCHK's board/council, committees, ministry services, and working groups; and personal data of members of RCHK's board/council and committees, and ministry service personnel, including personal data of those applying to join such organizations; all of these are collected by RCHK's senior executives in the performance of their administrative and executive functions; and personal data collected by the group in exercising its referral and approval functions.
:: Purpose of Collecting Personal Data ::
RCHK holds the following personal data for the following purposes:

To maintain membership and non-membership records for the purpose of regularly introducing the RCHK's activities, promotions, talks, retreats, courses, training, services, and donation requests; regular communications; reports; collecting and compiling opinions; acknowledgments; and issuing receipts for related activities or donations. This also enables RCHK to fulfil its functions and powers as conferred by its bylaws, constitution, and other applicable laws, rules, and regulations.

To maintain RCHK's own personnel records for human resource management purposes, including hiring, salary and benefits payment, processing employee medical reimbursements, tax returns, performance evaluations, disciplinary and dismissal records, and issuing service records and volunteer allowances.

To maintain records of complaints, investigations, disciplinary actions, and regulatory actions to fulfil RCHK's regulatory functions, respond to complaints received by RCHK, and take follow-up actions.

To maintain records collected on the web server for the management, statistics, and research of the activities and services provided by RCHK.

Photos and videos taken will be used for internal training, reviews, and research; and/or may be used to create event highlights for RCHK's website and social media platforms for promotional purposes. If you do not wish your photos to be used on our website and social media platforms, please notify the group's senior executive in writing via email or mail so that appropriate action can be taken.

Other miscellaneous records will be kept for the purpose of fulfilling RCHK 's administrative and executive functions, supporting and assisting RCHK 's board/council, committees, ministry services, working groups, weekly prayer meetings, and conducting training, courses, services, workshops, and other activities organized or supported RCHK.
:: Direct Marketing ::
Aside from promotional information regarding RCHK's activities, courses, services, and donation requests, we do not intend to use or process your data for other direct marketing purposes.
:: Data Transfer ::
Your personal data provided to RCHK will be kept confidential. However, RCHK may provide such personal data to the following parties when necessary to fulfil the purposes for which it is collected or for other purposes directly related to those purposes:

Any person, entity, or organization acting on behalf of or directly related to RCHK for the purpose of providing the data;

Under the Personal Data (Privacy) Ordinance, you, as the data subject, have the right to access and correct your personal data within the organization. If you wish to access or correct your personal data, please notify RCHK's senior officer in writing via email or mail.
:: Data Archiving ::
We take appropriate security measures to ensure the security of the personal data we receive and endeavour to prevent unauthorized access, misuse, or loss.
Personal data will not be retained for longer than actually necessary for the intended purpose, unless otherwise stated below. Please note that we will retain some of your information for a certain period after you cease to be a member, to fulfil our legal obligations.
